Job Purpose: 
To support the Site Manager by ensuring that the administrative processes of the site run smoothly and in adherence to Recycling Lives Standards, that all output data and performance reporting is complete, accurate and provided in a timely manner.
To act as the first point of contact for the site for external parties, visitors, customers, sub-contractors, transport companies etc.

  • Deal with incoming and outgoing email and post
  • Ensure that all policies and procedures are followed
  • Assist with general administrative duties and customer services
  • Greet and assist visitors
  • Direct calls and respond to enquiries
  • Request documentation from export customers, references and annex VII’s
  • Send documents and load list to the customer after each loading
  • Weighbridge admin, updating spreadsheets and data entry
  • Cash handling
  • Data inputting
  • Use of various software systems
  • Scheduling driver jobs and handing these out
  • Liaising with other sites and departments
  • Ensure the site training records for EHS, including the safe systems of work are up to date, accurate and available for all members of staff
  • Ensure adequate PPE, consumables, tools and stationery is available and that the issue of equipment to staff is recorded
  • Inform visitors to the site and make sure they are aware of the PPE requirements and site safety rules
  • Liaise with the RL transport team to ensure stock is maintained at a low level
  • Ensure that all compliance-related documentation it up to date and correctly filed 
  • Ensure noticeboards are up to date and communications to staff are clearly displayed
  • Maintain drivers’ files, manage tach card records and provide information required to the RL transport team
  • General site updates, reporting of performance and escalation concerns
  • Ensure all incoming vehicles are identified, segregated, booked in, prepared for auction and imaged in a timely manner
  • Carry out weekly stock take in collaboration with the site Booker-In/Raw2K operative and the Cars team, ensure the stock is accurately identified and managed
  • Respond to customer collection requests and ensure vehicles are ready for collection
  • Dealing with general public enquiries for scrap car prices and paying such customers through the weighbridge system
  • Provide daily/ weekly reports 
  • Liaise with the RL transport team to ensure stock is maintained at a low level
  • Liaise with subcontractors/customers for the timely removal of materials from the site (e.g. tyres, CATs, batteries, alloy wheels, export, etc.)
  • Manage the workload of any site-based drivers carrying out local household collections
  • Operate the weighbridge and record loads out in the logistics database
  • To ensure daily check sheets are available for all plant and equipment on site
  • Ensure there is a system in place for storing of completed check sheets and that any faults have been reported
  • Support the site manager to complete the daily site diary task as appropriate (e.g. complete daily CCTV checks, etc.)
  • Ensure all documentation produced is compliant with the appropriate regulations – waste consignment notes, waste transfer notes, etc.
  • Ensure the site administration activities are operating smoothly and accurately
  • Ensure that all the compliance related documentation is up to date and correctly filed (e.g. weighbridge calibration)
  • Maintain drivers files, manage tacho card records and provide information required to the RL transport team
  • Ensure noticeboards are up to date and communications to staff are clearly displayed
  • Able to deputise for the site manager for short-term absences from the business
Person Specification
  • Someone who is trustworthy and has an attention to detail
  • Someone who is computer literate and must be able to use excel to a decent standard

  • Weighbridge experience preferred but not essential

Skills, Knowledge and Experience 


  • Previous experience within the Recycling Sector
  • Equivalent 2 GCSE A-C (including Maths and English)


  • Efficient in the use of Microsoft Office (Word, Excel and Outlook)
  • High attention to detail and the ability to work accurately 
  • Previous experience in an administrative role 
  • Excellent communication skills 
  • Well organised and structured approach to work 
  • Excellent verbal and written communication skills
